Since the budget reductions announced last spring, ASU has been following modified personnel action approval procedures intended to ensure that the savings necessary to operate within reduced State appropriations levels were generated. We have been most successful in doing so, and we are confident that this ongoing austerity requirement will continue to be managed in balance with the critical goal of realizing the New American University vision. What We Do

Human Resources Data Management manages data for all ASU Employees (faculty, staff and students). We support Manager Self-service transactions, including ad-hoc salary actions, promotions and terminations. We administer HR-related transactions such as hires, job setup, benefit exceptions and position control and handle transactions in these areas:

Position Management
Everything tied to an employee’s position, including position number, job title, FTE, Regular/Temporary status, etc.

Job Data
Data associated with job or employment setup, which includes compensation, employment begin and end dates, new hire data, etc.   

Benefits
Benefits data affected by changes in position data, job data and benefits enrollment actions

Personal Data
Employee biographical data corrections

Manager Self-service
Errors and exceptions for ad-hoc salary actions, promotions and terminations

Old Department Codes Inactivated
More than 100 department codes and thousands of positions and jobs have changed because of the 2010 administrative reorganization. As a result, all of the old department codes have been deactivated effective 11/1/2009. read more

Some changes have been made to the Position Management front end so Financial Services can successfully run the distribution process on a confirmed payroll. read more

New Procedure for Department Code Requests
If your department needs new department codes or you want to modify existing codes in PeopleSoft, complete the OHR Department Code Change Request form (found on the HR Forms page) at least two weeks before the effective date of the change. As soon as OHR Data Management evaluates the impact of the changes, a Data Management team member will contact you to schedule the change.

Be sure to fill in all the blanks on the online form because requests submitted with missing or incomplete information will require additional research and may delay processing. Both the submitter and approver of the change will receive an email notification from Bridgot Allcott when the change has been completed.

Quick Removal of Computer Access

A new online form is now available to remove computer access for a terminating employee. This form has been developed to handle special circumstances which the current access removal processes may not adequately cover. In particular, this form should be used if:

  • Computing services for an employee being terminated need to be removed immediately
  • An employee still has an active contract even though they are no longer, or not currently, working (on administrative leave)

This form should not be used for a regular termination.

You can find the new form on MyASU:
My Compensation>Manage > Job and Personal Information > Terminate System Access.

DO NOT USE this form in place of eHire or the Online Renewal Process for Grads, Academic Professionals and Faculty.

Online HPRs and Paper HPRs to be Eliminated

Beginning Friday, Feb. 13, Data Management will no longer accept paper HPRs and will deactivate the Online HPR TAM template 1014 used for hiring.  The TAM Template 1013 will be used for all competitive hires posted online  AND  all Emergency Hires/Focused Recruitments. Read more

Early On Board Access
Use the Early On Board Access/Courtesy Affiliateprocess to get a new hire access before he or she starts. A department can add anyone affiliated to the department to PeopleSoft to get that person an ASURITE ID and use of limited services (such as ASU email) right away.
